How to make an invoice in four steps

What is an invoice
An invoice is the document a seller sends to ask for payment. It lists what was sold, the price, the taxes and the date payment is due.
It is not a receipt. An invoice asks for money and a receipt confirms the money arrived. Most businesses send both.

Types of invoice
- Sales invoice. The standard invoice for goods or services already delivered.
- Proforma invoice. A quote in invoice format sent before delivery. It does not ask for payment yet.
- Tax invoice. An invoice that meets the tax rules of the country, such as GSTIN in India.
- Recurring invoice. The same invoice sent every month, for rent, tuition or a subscription.
- Bill. In India and Pakistan many people call a basic invoice a bill.

How to number your invoices
Use one sequence with no gaps, such as INV-0001, INV-0002. Add the year if you start over each year.
Never reuse a number after you cancel an invoice. Issue a credit note instead.
When an invoice is due
The due date comes from the terms you agree with the customer. «Net 30» means 30 days after the issue date. «Due on receipt» means the same day.
Write the due date as a date, not only as «Net 30». Customers pay faster when the date is clear.
Make an invoice in Word or Excel
Word and Excel work for a few invoices a month. Each one needs the totals checked by hand and the number changed by hand.

When an invoice is late
Send a short reminder before the due date and another on the day. Most late payments are forgotten, not refused.
After the due date, remind again at three and seven days. Include the payment details every time.

Invoices for freelancers
A freelancer invoice lists hours or deliverables instead of products. Write the project, the period and the rate in each line.
Clients abroad pay in their currency. Pick it in the generator and add the payment link or the bank details for international transfers.
Send the invoice the day you deliver. Each day you wait pushes the due date back by the same day.
Invoices for small shops and services
A repair shop, a caterer or a tutor often bills the same customers every month. Save your details once and change only the lines each time.
Send the image on WhatsApp right after the job. Customers read a WhatsApp message the same day, and the invoice sits next to the conversation.
How to correct an invoice
- Do not edit an invoice the customer already has.
- Issue a credit note for the wrong amount, with its own number.
- Issue a new invoice with the right amount and the next number.
- Tell the customer which invoice replaces which.
