What a rent receipt must show
- A receipt number that never repeats.
- The date the rent arrived.
- The tenant name and the landlord name.
- The property address, with unit or flat number.
- The period the payment covers, such as October 1 to 31.
- The amount in figures and in words.
- The payment method and its reference.
- The landlord signature.
Add the landlord tax ID when the tenant asks for it. Some employers need it to accept the receipt for an allowance.
How landlords use it
One receipt per payment keeps the record clean. A tenant who pays in two parts gets two receipts, each with the balance left.
Keep the receipt numbers in order across all your properties. A missing number is hard to explain at tax time.
Send the image by WhatsApp the same day the rent arrives. The tenant files it and the conversation stays in one place.

Security deposit receipt
A deposit gets its own receipt. Write «security deposit, refundable under the lease» as the description.
Never mix the deposit and the first month in one receipt. They end in different ways.
Common mistakes
- Leaving out the period. «Rent» alone does not say which month was paid.
- Writing the receipt before the money arrives. Date it the day you get paid.
- Forgetting the unit number. In a building, the street alone is not enough.
- Giving no copy for cash payments. Cash is where disputes start.
Rent paid by bank transfer or UPI
A bank transfer already leaves a record, but it does not say which month it paid. The receipt connects the money to the period.
Write the transaction reference in the receipt. A tenant or an auditor can then match the receipt with the bank statement line.
Several tenants or several properties
Use one numbering for all your receipts, not one per building. A single sequence shows that nothing is missing.
When roommates pay their share apart, give each one a receipt with their part and the total rent of the unit.
For shops and offices, add the unit number, the floor and any service charge as separate lines.
Late rent and partial payments
A tenant who pays part of the rent gets a receipt for that part with the balance pending. The next receipt closes the month.
Write any late fee as its own line, never mixed into the rent. It keeps the lease terms clear.
A reminder a few days before the due date avoids most late rent. A second one on the day settles the rest.
