FINAL DEMAND FOR PAYMENT

Dear [Customer name],

Our records show that the following invoices remain unpaid:

Invoice no. Invoice date Due date Amount
[1019] [10 June 2026] [10 July 2026] [5,900.00]
[1033] [1 August 2026] [31 August 2026] [4,700.00]
                                 Total [10,600.00]

Reminders were sent on [dates of earlier reminders] and the balance has not been paid.

[If the agreement or the law allows interest or recovery costs, list them here with their basis. Leave this line out if neither applies.]

Please pay [currency and total amount] by [deadline date, at least 14 days from today] using the details below:

[Bank name, account name and number, reference]
[Payment link or other method]

If payment is not received by that date, [Business name] intends to [the specific step you will actually take, for example refer the matter to a solicitor, start a small claims case, or stop supplying on credit]. This may add costs to the amount owed.

If you dispute any part of this balance, or if you would like to agree a payment plan, contact [name] at [phone or email] before the deadline. A copy of each invoice is available on request.

If you have already paid, please send the payment reference and ignore this letter.

Yours sincerely,

What goes in each part

  • Subject line. Write FINAL DEMAND FOR PAYMENT so the letter is not read as another reminder.
  • Invoices. List each one with its due date. The customer must be able to check every figure.
  • Earlier reminders. Give the dates. It shows the letter is the last step, not the first.
  • Interest and charges. Add them only when the contract or the law allows them.
  • Deadline. Give an exact date. Fourteen days is common for business customers.
  • Next step. Name the one step you will really take. An empty threat weakens the letter.
  • Way out. Offer a contact for disputes or a payment plan. It often settles the matter.

Rules to follow before you send it

A final demand letter must be accurate and must not threaten anything you cannot do. It must not look like a court document.

  • United Kingdom, customer is an individual or sole trader. The Pre-Action Protocol for Debt Claims expects a Letter of Claim with an Information Sheet and Reply Form. The debtor has 30 days to reply before court proceedings.
  • United Kingdom, customer is another business. GOV.UK says you can claim statutory interest of 8% plus the Bank of England base rate. A fixed recovery sum of £40, £70 or £100 applies depending on the debt.
  • United States. The Fair Debt Collection Practices Act covers third-party debt collectors, 15 U.S.C. 1692a. A creditor collecting its own debt under its own name is mostly outside it.
  • South Africa. The Debt Collectors Act 114 of 1998 requires anyone collecting debts for others to register with the Council for Debt Collectors.

Other countries have their own rules. Check them before you mention interest, costs or court.

Example with figures

A cleaning company in Manchester is owed £2,400 by another company on 30-day terms. The invoice is 45 days past due.

ItemAmountBasis
Invoice 2207£2,400.00Unpaid since due date
Statutory interest, 45 daysRate × £2,400 × 45 ÷ 3658% plus base rate, GOV.UK
Fixed recovery sum£70.00Debt between £1,000 and £9,999.99

Use the base rate on the day you calculate. The letter states the total and a 14-day deadline.

When to send a final demand

  • After at least two reminders with no payment and no reply.
  • When a payment agreement has broken and the grace period has passed.
  • Before you hand the account to a solicitor or an agency.
  • When the invoice is in the over 90 days bucket of your aging report.

Common mistakes

  • Threatening steps you will not take. It costs credibility and can break the rules.
  • Contacting the customer's family, employer or neighbours. Write only to the customer.
  • Wrong totals. Pull the statement of account before you write the letter.
  • No proof of sending. Use email with a read receipt or recorded post.

What to do after the deadline

The letter only works if the step it names actually happens. Decide the step before you send it.

  • If the customer paid, send a receipt and a short thank you the same day.
  • If the customer asked for a plan, send a payment agreement letter with dates and amounts.
  • If the customer disputes the amount, answer the dispute in writing before anything else.
  • If there is no reply, take the step named in the letter and keep a copy of everything sent.
  • If the amount is small, compare the cost of the next step with the balance before you go on.

Small claims courts in many countries accept a claim online. Check the limit and the fee where the customer is based.

Frequently asked questions

What is a final demand letter?

It is the last written request for payment before formal steps. It gives the amount, a deadline and the next step.

How long should the deadline be?

Fourteen days is common for business debts. In the UK, debts owed by individuals follow the 30-day reply period of the Pre-Action Protocol.

Is a final demand letter the same as a letter before action?

Yes, in practice. Letter before action is the UK name when court proceedings are the next step.

Can I add interest to the demand?

Yes, when the contract or the law allows it. In the UK, business debts can carry statutory interest.

Can I send it by email or WhatsApp?

Yes. Email with the PDF attached is common. Keep proof of sending in case the matter goes further.

Do I need an account to download the template?

No. The Word file downloads directly with no sign-up.
