Example with figures

A digital agency in Lagos is owed ₦1,200,000 for three months of work. The client asks for four months to pay.

InstallmentDue dateAmount (₦)Balance after (₦)
15 Nov 2026300,000900,000
25 Dec 2026300,000600,000
35 Jan 2027300,000300,000
45 Feb 2027300,0000

Both sides sign the letter. The agency sends a reminder before each 5th and a receipt after each payment.

What goes in each part

  • Balance. List the invoices it covers. The customer accepts a figure they can trace.
  • Payment plan. One line per installment with the exact date. Avoid lines like monthly from November.
  • How to pay. Give the account details or say a payment link arrives before each date.
  • Interest and charges. Say plainly if the plan adds interest or not. Silence here causes disputes.
  • Missed payments. Set a grace period and a written notice before the full balance becomes due.
  • Completion. Promise a written confirmation when the balance reaches zero.
  • Signatures. Both parties sign and keep a copy. A scanned copy by WhatsApp or email works for most cases.

When a payment agreement makes sense

  • The customer wants to pay but cannot clear the balance at once.
  • The balance is a few months old and the relationship is worth keeping.
  • You want a clear record before thinking about a final demand letter.
  • A customer has made partial payments with no fixed schedule.

Common mistakes

  • Agreeing on the phone and never writing it down. The schedule changes in each call.
  • Installments that do not add up to the total. Check the sum before signing.
  • No grace period. A plan that breaks for one day late ends faster than it should.
  • Forgetting to remind before each date. Most missed installments are forgotten, not refused.
  • Not confirming the last payment. Close the plan in writing.

How to propose a payment plan

Most customers accept a plan when it comes before the account turns hostile. Offer it in a message first, then confirm it with the letter.

  1. Ask what amount the customer can pay each month. Their number is the one they will keep.
  2. Propose dates that follow their income, such as the day after payday.
  3. Keep the plan short. Three to six installments are easier to follow than twelve.
  4. Send the letter the same day, with the dates and amounts you agreed.
  5. Remind each installment a few days before its date.

A plan agreed by message and confirmed in writing avoids most later disputes about what was promised.
